AMA Annual General Meeting FAQ
What is an Annual General Meeting (AGM)?
An Annual General Meeting is a yearly gathering for association
members. It occurs for the following purposes:
- To consider the President's Report, Annual Report, and the
Audited Financial Statements for the year ending March 31,
2021;
- To elect members to the AMA Board of Directors;
- To appoint auditors; and
- To deal with such other business as may properly be addressed
at the meeting.

When is the AMA's 2021 AGM?
The AMA's Annual General Meeting will be held virtually at 11:00
a.m. MDT on Thursday, September 16, 2021. The AGM will take place
ahead of the September Event in the AMA's 2021 Conference Series.

that a printed package will not be mailed this year.
How can I register to attend the AGM and
vote?
Register to attend and / or be added to the voting list using
the AGM Registration and Voting Information Form
by September 8 at 4:30 p.m. Once registered, you
will be emailed a link to the AGM virtual meeting prior to
September 16. If you are eligible to vote, you will receive further
voting instructions by email prior to the AGM.
I cannot attend the AGM. Do I still need to complete the
form?
Yes. If you are unable to attend the AGM,
voting members of the AMA can use the online form to assign a proxy
to vote on their behalf.
Does my 2021 Conference Registration include attendance
at the AGM?
No. You must register separately to attend the
AGM using the AGM Registration and Voting Information Form.
Please note that the AGM is open to AMA members and
non-members.
Am I eligible to vote if I am an Individual or Student /
Volunteer Member of the AMA?
Yes, if your Individual or Student / Volunteer Membership is in
good standing, you are eligible to vote, and your name will
automatically be on the voting list once you have registered.
Am I eligible to vote if I am an employee at an
Institutional Member of the AMA?
If your institution's Institutional Membership is in good
standing, the authorized representative designated by your
institution's governing authority is eligible to vote. Only
one representative can be assigned per Institutional
Membership.
Institutional Members can indicate their attending voting
representative through the online form, or assign a proxy if no
institutional representative will be attending the AGM.
I am an Individual Member and I am also the authorized
representative for my institution. Can I vote twice?
Yes, if you are eligible to vote both for yourself and as the
authorized representative of an Institutional Member, you will be
able to vote once for each membership. Please complete the
registration form separately for each membership to ensure that you
receive the correct voting links for both your Individual
Membership and as the designated voting representative for the
Institutional Membership. You will receive the meeting link and
further voting instructions prior to September 16.
Am I eligible to vote if I represent a Supporting Member
of the AMA?
No, Supporting Members of the AMA are ineligible to vote. You
can still attend the AGM by registering using our online form.
I am an AMA member and I am eligible to vote, but I
cannot attend the AGM. Can someone vote for me?
Yes, you can use the online form to designate either the
Association Vice President or someone else as a proxy to vote on
your behalf. You will need to provide a valid email address for
your proxy ensure they receive the correct links.
I have been designated as a proxy to vote for a member
who cannot attend the AGM. What do I need to do?
If someone has designated you as their proxy, they will have
included your contact information, and you will receive a link to
the virtual meeting by email prior to September 16.
If I apply (or reapply) to join the AMA as a new member, will I
be eligible to vote in time for the AGM?
All new member applications must be ratified
by the AMA Board of Directors. The deadline to submit a new member
application in order to ensure time to be ratified prior to the AGM
is August 31, 2021.
How can I tell if my membership is in good
standing?
A membership is considered in good standing once a member has
been ratified by the AMA Board of Directors, and remains in good
standing so long as there are no outstanding membership invoices on
the account.
You can view your current membership status by reviewing your
profile in the Members
Only section. If you have an outstanding membership
invoice from the previous 90 days, there will be a notification at
the top of your page.
Please note that if a membership invoice is outstanding for more
than 90 days, the membership is discontinued. In such cases, it is
necessary to reapply for membership and be ratified by the
Board.

I am ineligible to vote / I am not an AMA member. Can I
still attend the AGM?
Yes, you are welcome to attend the AGM even if you are
ineligible to vote. You still need to register via online form in order to receive the link to
the virtual meeting.
